Summary
Xpan’s Project Coordinator (PC) is proactive and organized to support the development and delivery of eLearning projects. In this role, you will assist the project management team in coordinating, scheduling, and monitoring project tasks to ensure on-time and high-quality completion. You will communicate effectively with team members, vendors, and clients, maintaining clear documentation and handling logistics to facilitate a smooth project workflow.
Xpan is a remote-first company. This role can be performed in any province or territory in Canada.
Here's What You’ll Do
As part of our commitment to excellence, you’ll work alongside instructional designers, multimedia developers, and project managers to deliver high-quality eLearning experiences for our clients. If you’re a proactive communicator with a keen eye for consistency, accuracy, and client satisfaction, this role is made for you.
Quality Assurance
Ensure all eLearning materials meet the highest standards for usability, accuracy, and engagement. This includes reviewing content for accuracy, conducting functionality testing, ensuring UX consistency, tracking and reporting issues, and maintaining version control. Success in this area means that:
- eLearning modules, multimedia elements, and assessments are accurate, consistent, and error-free.
- Learning objectives are aligned with content and achieved through effective assessments and activities.
- Content follows client-specific guidelines and industry standards.
Communication
Maintain clear communication with instructional designers, multimedia developers, and project managers to ensure project alignment and collaboration. You’ll also keep clients informed and foster positive vendor relationships. Success in this area includes:
- Consistent, clear communication across teams to keep everyone aligned.
- Proactively identifying and communicating any potential project risks or delays.
- Nurturing and strengthening vendor relationships.
Documentation
Organize and maintain accurate project documentation to keep workflows on track, support accountability, and serve as a clear reference for progress and outcomes. Responsibilities include:
- Contributing to Standard Operating Procedures (SOPs).
- Maintaining QA documentation to ensure all elements meet required standards.
- Managing file storage and documentation for easy access and version control.

Here’s What You Need
- High School diploma or GED; additional relevant education is an asset. Previous experience in project coordination, preferably in eLearning or a related field.
- Above average computer skills – Microsoft Word, Excel, PowerPoint
- Self-starter, team player, critical thinker, can-do attitude
- Strong written and verbal communication skills
- Excellent time management and organizational skills
- Demonstrated excellence in interpersonal skills, especially in situations involving consensus and team building
- Relationship management skills
- Demonstrated experience directing internal and client teams involved in multiple activities
- Impeccable language and digital literacy skillset
Here’s What'll Give You an Advantage
- Experience in eLearning and/or experience working with Learning & Development leaders is preferred
- Familiarity with project management software and collaboration tools
- Strong attention to detail
- Excellent organizational skills
- Experience with graphic, motion, or audio editing software

Compensation
$50,000.00 - $65,000.00 per year
